Elite North Soccer Inc. – Terms and Policies

These Terms and Policies apply to all programs, sessions, and activities operated by Elite North Soccer Inc. 

These Terms and Policies must be read in conjunction with the Waiver and Liability Agreement, which forms part of this agreement.

These Terms and Policies must also be read in conjunction with any other policy outlined on our website.

By registering or participating, you agree to all terms outlined below.


Definitions

In these Terms and Policies:

  1. “Organization” refers to Elite North Soccer Inc., including all staff, coaches, volunteers, and representatives.

  2. “Player” refers to the registered child participant.

  3. “Parent/ Guardian” refers to the individual responsible for the Player.

  4. “Participant” includes Players, Parents/ Guardians, spectators, and all individuals attending or involved in activities.

  5. “Activities” includes all programs, sessions, games, and events operated by The Organization.

 


 

1. Program Overview

Elite North Soccer Inc. provides small-sided youth soccer programming focused on development, participation, and enjoyment.

Programs may include:

  • Small-sided games (including, but not limited to 3v3 formats)

  • Rotating match play

  • Structured sessions and activities

  • Indoor and outdoor play

Programs are designed to be inclusive and appropriate for all skill levels.

 


 

2. Registration and Player Information

Registration

  • Registration is confirmed only upon receipt of full payment

  • Spaces are limited and allocated on a first-come, first-served basis

  • In the event that Spaces are full, The Organization will make a best-effort to add Registrants to a Waiting List.

Player Information

  • Accurate information must be provided. This includes, but is not limited to:

    • Name

    • Date of Birth

  • The Organization reserves the right to:

    • Verify eligibility at any point

    • Adjust placements

    • Decline participation where information cannot be verified

 


 

3. Team Formation and Program Structure

  • Teams and groups are created at the sole discretion of The Organization

  • Placement is based on:

    • Age (by birth year)

    • Program balance

    • Operational considerations

The Organization reserves the right, at its sole discretion, to:

  • Adjust teams, groupings, and placements at any time

  • Combine or separate age groups where necessary

  • Modify schedules, session durations, formats, or program structures

  • Reassign Players between groups for safety, balance, or operational reasons

All placement and structure decisions are final and not subject to appeal.

 


 

4. Payments and Refund Policy

Payment

  • Full payment is required at registration unless otherwise specified

Refund Eligibility

  • Refunds are available up to 30 days prior to the program start date

  • All refunds are subject to an administrative fee (the greater of $50 or 25%)

Non-Refundable Situations

No refunds will be issued:

  • Within 30 days of the program start date

  • After the program has begun

  • For missed sessions (including illness, scheduling conflicts, or personal reasons)

Program or Session Changes

The Organization may cancel, modify, or reschedule sessions due to:

  • Weather, if applicable

  • Facility availability

  • Staffing or operational needs

  • Safety concerns

 

Registration secures a place in the program, not attendance at specific sessions.

The Organization does not guarantee a minimum number of sessions where circumstances are outside its control.

Make-up sessions, credits, or refunds for interruptions are not guaranteed and are issued solely at The Organization’s discretion.

If a full program is cancelled by The Organization, a full or prorated refund will be issued.

 


 

5. Attendance, Withdrawal and Removal

  • Participants are expected to attend scheduled sessions

  • Voluntary withdrawal is subject to the refund policy

The Organization reserves the right, at its sole discretion, to:

  • Refuse participation at any time

  • Remove any Participant from a session or program

  • Restrict future participation

These decisions may be based on safety, behaviour, non-compliance, or any circumstance The Organization deems appropriate.

 


 

6. Safety and Participant Responsibilities

Participation in sport involves inherent risks. While The Organization takes reasonable steps to promote safety, risks cannot be eliminated.

All Participants must:

  • Follow instructions from The Organization or any representatives thereof

  • Act responsibly and safely

  • Use equipment appropriately

  • Respect other Participants and surroundings

Parents/ Guardians acknowledge and agree that:

  • The Organization provides structured programming, not individual supervision

  • Responsibility for the Player’s wellbeing ultimately remains with the Parent/ Guardian

  • Participation decisions are made at their own discretion

 


 

7. Injury Response and Medical

In the event of an injury:

  • Play may be stopped immediately

  • The Player may be removed from activity

  • A Coach or representative will assess the situation to the best of their ability

  • Parents/ Guardians will be notified as soon as possible

In serious situations:

  • Emergency services (911) may be contacted

  • Assistance may be provided on a best-efforts basis

The Organization:

  • Does not provide medical care or on-site medical professionals

  • Does not provide medical insurance coverage

  • Will not be held responsible or accountable for any medical incidents that occur

 


 

8. Concussion and Return to Play

Any Player with a suspected concussion must, and under the sole responsibility of the Parent/ Guardian:

  • Be removed from play immediately

  • Not return the same day

Return to play requires, and under the sole responsibility of the Parent/ Guardian:

  • Medical clearance from a qualified professional

A Player may only return when, under the sole responsibility of the Parent/ Guardian, they are:

  • Symptom-free

  • Physically able to participate safely

The Organization reserves the right to deny participation if safety is a concern.

 


 

9. Equipment and Facilities

Players must:

  • Wear appropriate footwear

    • In all events, cleats are not permitted

  • Wear shin protection

  • Avoid any form of jewelry

  • Avoid any equipment deemed by The Organization as unsafe

The Organization may deny participation if equipment requirements are not met.

In any event that any participant does not have the required equipment, or uses non-permitted equipment, The Organization reserves the right to deny access to the program.

Depending on the location of the session, there may be different equipment requirements for players, spectators, and other participants.

Sessions may take place on:

  • Turf

  • Grass

  • Indoor/gym surfaces

Conditions may vary, and Participants accept associated risks.

 


 

10. Code of Conduct

All Participants (Players, Parents/ Guardians, spectators, Coaches, and volunteers) are expected to contribute to a safe and positive environment.

Expected Behaviour

  • Respect, sportsmanship, and fairness

  • Respect for the facilities

  • Respect for the equipment

  • Compliance with instructions

  • Positive support for Players

Prohibited Behaviour

  • Bullying, harassment, or discrimination

  • Verbal or physical abuse

  • Aggressive or unsafe conduct

  • Interference with gameplay or instruction

  • Damage to facilities

  • Damage to equipment

Parents/ Guardians and Spectators

  • Must support Players positively

  • Must not interfere with sessions or coaching decisions

  • Must respect all Participants, officials, and any member of The Organization

Substance Use

  • No alcohol, drugs, smoking, or vaping at any activities

 


 

11. Discipline and Enforcement

The Organization applies a progressive discipline approach where appropriate:

  • Warning

  • Removal from session

  • Suspension

  • Removal from program

Serious incidents may result in immediate removal.

  • Applies to all Participants, including spectators

  • Decisions are made at the sole discretion of The Organization

  • All decisions are final

  • No refunds will be issued for disciplinary action

 


 

12. Weather and External Conditions

Sessions may proceed in various conditions unless deemed unsafe.

The Organization may:

  • Modify, pause, or cancel sessions

  • Make decisions based on safety and operational factors

Make-up sessions, credits, or refunds are not guaranteed.

 


 

13. Media Consent

Photos and videos may be taken during Activities for promotional purposes.

By participating, you consent to such use.

 


 

14. Assumption of Risk and Waiver

Participation in Activities involves inherent and potential risks, including serious injury.

By registering, you:

  • Acknowledge and accept these risks

  • Agree to the Waiver and Liability Agreement

  • Confirm that participation is voluntary

The Waiver and Liability Agreement includes:

  • Assumption of risk

  • Release of liability

  • Indemnification provisions

 


 

15. Operational Discretion

The Organization reserves the right to make decisions at its sole discretion in all matters relating to:

  • Program delivery

  • Scheduling and logistics

  • Participant eligibility

  • Safety and risk management

All decisions are final and made in the interest of maintaining a safe and effective program environment.

 


 

16. General Terms

  • The Organization is not responsible for lost, stolen, or damaged property

  • Parents/ Guardians remain responsible for the supervision and wellbeing of their Player

  • These Terms are governed by the laws of the Province of Ontario, Canada

  • Any disputes shall be resolved within Ontario

If any portion of these Terms is found unenforceable, all remaining sections remain in full force and effect.

 


 

17. Agreement

By registering or participating, you confirm that:

  • You have read and understood these Terms and Policies

  • You agree to comply with all policies and guidelines within this agreement, and within any other policy noted at registration

  • You accept the risks associated with participation

  • You agree to the Waiver and Liability Agreement
